Notice to Hirers and Users
Terms and Conditions including Risk Assessment
• When booking or using the above sites you are required to confirm your
acceptance of the following:
• In addition to the generic conditions of use, specific terms, conditions and risk
assessments pertaining to outdoor activities are separately set out and must be
followed and complied with.
• You are reminded that you also need to do your own risk assessments
depending upon the specifics of your group and its intended activities before
using any of the facilities. This is especially true when engaging in any activities
associated with archery, climbing, shooting, throwing and particularly any
involving water based activities. Specific risk assessments and requirements
concerning these activities are set out below:-
• This is a woodland site with many large mature trees. Tree safety inspections
are carried out by professionals but you are reminded to do your own safety
assessments especially during high wind periods when we advise not to be
ouside in close vicinity to large trees.
• Please advise us where you find hanging tree limbs or pulled roots after such
high wind events.
• Smoking is prohibited in any of the buildings, but is allowed in designated areas.
• Climbing on the buildings is prohibited.
• Vehicles cannot proceed beyond the main parking areas unless prior approval
is sought.
• Vehicles access must be prohibited during the use of the archery and shooting
ranges. These areas must be cordoned off and marshalled during use.
• Open fires are only allowed in designated areas and must be attended at all
times by a responsible adult.
• Under no circumstances are BBQs and or fire pits to be allowed into the hall
building or tents.
• Groups must supply their own first aid kits relevant to their circumstances and
must also have at least one fully qualified first aider on site at all time when the
group is present and when using the outdoor facilities. A defibrillator is available
on site.
• At least one responsible adult must be on site at all times when any of the group
is on site.
• Due to the location of the sites hirers must have at least one operational mobile
phone available for emergency calls to 999 etc. at all times the site is in use.
• Whilst Covid-19 remains with us you are reminded of the need to ventilate the
building, space individuals, maintain hand hygiene and sanitise surfaces. The
buildings will be regularly antiviral cloud cleansed.
• Pinewood does not have a warden service or any permanent staffing.
• Deer, badgers, foxes, birds, and rodents always have a presence on site, even
if not seen, please respect their environment and under no circumstances,
leave food stuff outside or feed the animals.
• The use of the self-led on site activities do require suitably qualified and certified
leaders/instructors. The use of these activities without such leaders is
prohibited**.
• You are required to leave the site as you found it and to remove all rubbish etc.
including items from showers and toilets. Burn, bash and bury is not permitted.
• The premises Management Team will contact you after the hire for details of
incidents and near misses and opportunities to improve.
• Finally please enjoy your stay at Pinewood but remember you need to take care
of it and yourselves.
** NB.
If activities are being delivered under scout permits, then this must be notified to
District and the Booking Secretary will ask for proof of notification

The King continues a long tradition of the monarch giving their Patronage, dating back to 1912. This was when Scouts was granted its Royal Charter and HM George V became our first Patron.
